Job Description

GA Leader has key responsibilities to assist GA&HR Senior Manager for administrative tasks, to plan and supervise all related administration/general affairs activities.

1. The GA Leader is responsible for giving guidance, directing and motivating GA staffs, including setting of performance standards, development, and supervision of their duties as follows:

  • Make plan, give guidelines and supervise GA staffs to make sure a smooth operation and staff’s effective and efficient manner
  • Take lead to assist in immigration work for expatriate staffs or customers in Hanoi and other provinces, including Recruitment Plan, Work Permit, Visa, Passport and related requirements.
  • Take lead to support and coordinate with other departments in organizing events, team buildings, parties, ect.
  • Assist GA staff to ensure a professional travel arrangement for all company members and customers, including air ticket and hotel booking, transportation arrangement, and reviewing all travel expense claims.
  • Take lead to assist in apartment resident services for expatriates and local staffs, and expatriate services
  • Monitor office operation, including leasing of Hanoi head office and HCMC representative office, cleaning, stationary, pest control, carpet shampooing, courier, and maintenance of office premises, equipment & furniture; insurance; periodically asset inventory office equipment; office safety and office fitting out.
  • Control of all service agreements and contracts of GA’s vendors, including review, renewal and liquidation
  • Assist GA members to ensure on time reports to authorities such as DPI, DOLISA, and others
  • Develop, review section procedures, rules, regulations, etc relating to his/her responsibility.
  • Perform regular evaluation on service providers/suppliers and propose plans to improve service quality

2. The GA Leader will be in charge of below tasks:

  • Take charge of general purchasing for office and projects and IT purchasing
  • Take charge of man hour services and issuing invoice for projects
  • Take charge of GA budget planning, review and control, and cost control
  • Other duties as assigned by Senior Manager

Job Requirement

Educational level: University graduated

Expected experience: Deep knowledge and experienced in GA  fields with at least 5 years experiences for a similar position in Foreign Invested Company; and having working experience in  Japanese or Korean companies is an advantage. Having good relationship with local authorities is an advantage. Legal background or IT knowledge can be some advantages, also.


  • Supervisory skill: able to monitor work perform by staff in term of quality, schedule, cost control
  • Leadership skill: able to motivate and evaluate subordinates, give training/instructions
  • Planning skill: able to set priority, control daily activities
  • English skills: Excellent English skills, especially in writing & speaking;
  • Skillful in Microsoft office (Word, Excel, Power Point)
  • Other soft skills like time management, multi-tasking, etc.
